JOB DESCRIPTION help section

general information

Job Descriptions are prepared to identify, define and describes roles within an organization.  Job Descriptions are a formal document that describes the essential functions of a particular job.  Job Descriptions should be reviewed periodically to ensure it is up-to-date and accurate.  A good rule of thumb is to review job descriptions when:

·            you begin to recruit for a position;

·            when you are preparing for the annual dialogue process

·            when a job changes significantly;

·            when a department or work is reorganized, and

·            after 90 days a new job description is prepared.

Job purpose

The job purpose is a brief description of the job and should state effectively why the job exists.  Although this section appears at the beginning of the description, it may be easier to write this section last, after you have completed the Main Duties Section. Once the Main Duties Section is finalized, summarize these statements to form one sentence that clearly and concisely describes the job’s overall contribution to the organization (back)

Main duties

Main Duties are essential functions of a position as each job typically consists of several core duties.  The Main Duties section describes the tasks or actions involved with the job duties.  As a general rule, most positions may be described adequately in ten statements.

When writing “Main Duty” statements, include both action statements that describe the end results and statements regarding how the task is completed.  Examples of common business actions, as expressed in active verbs, include: Analyzes, Directs, Drives, Decides, Compares, Formulates, Interprets, and Leads.

For example:  [Ensures accurate and timely company budget process] end result [by] transitional word [consolidating data within specific company procedure.]  How they do it.
